It is possible to assign multiple roles to users and for users with multiple roles to switch between those roles, e.g. users may switch between the reviewer and proctor roles, if both roles are assigned to them.
Assigning multiple roles to a user
This is done on the Manage Users page, which can be found under Settings and leads to a list of all users defined on that institute.
There’s a column named “Roles” on the Manage Users page where you can view the roles assigned to a user and select/deselect roles for each user.
Note that the "Role" column only shows the currently active role per user.
Only compatible roles can be combined, please refer to the grouping of roles below:
-
superuser (only other superusers can see/select this role). Note that the superuser role can “jump” between institutes, so you may not be able to see a specific superuser if you’re in the wrong institute.
-
administrator, teacher, proctor, reviewer (only admins and superusers can see/select these roles; teachers only see the teacher role)
-
global proctor, global reviewer (only superusers can select these roles). Since these roles can view exam takers data across institutes, it is recommended to create all users with these roles in a single institute in order to keep the overview.
-
auditor (only admins and superusers can see/select this role)
Those groupings ensure that the exam takers' data is safeguarded and can only be viewed by the appropriate users.
Switching roles
When you’re logged in as a user with multiple roles assigned, you’ll see a new menu item in the top right menu where you can switch between the available roles. See the screenshot below:
Note that if you are logged in as proctor, please ensure that you don’t have any exam takers assigned to you before switching role, as the role switch takes you out of the page without removing assigned exam takers.
Why use multiple roles?
We have noticed that some of our users create multiple accounts with equivalent email addresses (aliases) on our platform, so that they can login with a specific account for a specific role.
The main purpose of this feature is to allow a smooth migration to start using SSO, where only one account per user is permitted and a workaround to create multiple accounts for the same user isn’t possible.
